A wedding, a bar or bat mitzvah, a company event or a big birthday party - at any event where guests come from different places, an organized shuttle is one of the things that most improves the experience. Guests don't need to worry about parking, nobody drinks and drives, and everyone arrives relaxed and on time. Here is what to check before booking an event shuttle.

How many seats you really need

First, carefully count how many guests will actually need the shuttle - not everyone invited needs it, and some will come by car. It is best to count by area: if there is a large group from a particular city or town, you can give them a convenient central pickup point and size the vehicle accordingly - a minibus for a small group, or a bus for a larger one.

Coordinating times with the venue

One of the most common mistakes is arranging only the arrival time, without thinking about the return. Find out in advance exactly when the event actually ends (not just what the invitation says), and arrange with the shuttle company for the vehicle to wait or come back at the right time. Also allow for arriving early - it is better for guests to arrive a few minutes before the ceremony or event begins rather than right on time.

Pickup points - one or several

If all the guests come from the same area, a single pickup point (for example a well-known parking lot or the central bus station) is the easiest to coordinate. If guests are spread across several cities, consider several pickup points along one route - it requires more precise timing, but saves guests from having to travel on their own to a distant meeting point.

What to confirm in writing in advance

• The exact number of passengers and the vehicle type that fits
• Pickup time, estimated arrival time at the event, and return time
• The exact pickup point or points
• A contact person on your side whom the driver can reach on the day of the event
• A final price, including whether there is extended waiting time at the event

A well-planned shuttle is one the guests barely notice - it simply works. The more details you confirm in advance, the fewer surprises there will be on the day itself.
